For dealer groups

See each branch alone and the whole group together.

Sites, depots and bays, stock that moves between them, and books that consolidate across sites. Maker-checker payment runs, fixed roles and an audit trail are built in.

The dealership dashboard with sales, gross profit, enquiries and finance figures, a sales pipeline, recent deals won and stock, workshop and parts overviews.

Where the day goes. And what Spectra does about each part of it.

  • A van at one branch is exactly what a customer wants at another, and no one can see it.

Per-user site assignment, stock search across branches, and stock and parts transfers between sites.

    Stock and valuation

  • Month-end means a spreadsheet per site and a weekend.

Branch P&L with one column per site, group consolidation with inter-company eliminations, budgets against actuals and sub-ledger reconciliation.

    Finance and VAT

  • Too many people can do too much.

Eight fixed roles and 51 permissions in eight areas, at view, edit and full-override levels. Supplier payment runs use maker-checker: the creator cannot approve. Control-account journals and bad-debt write-off need elevated permission.

    Roles and permissions

  • When something changes, there is no single record of who did it.

An append-only field-change audit trail on key records, hash-chained tamper-evident logs for destructive and super-admin actions, login history, impersonation audit and an agent audit log that tags each entry as agent, human or system.

    Audit and records

  • Parts orders and web sales do not know which site has the stock.

Online orders are fulfilled with routing across sites, and stock and parts move by transfer.

    Parts and shop

  • Each site reports its own way, so the board pack is a guess.

34 KPIs in five categories, with targets, red, amber and green thresholds, month-to-date, year-to-date or custom periods, and per-site drill-down.

    Reporting

A day in Spectra. One working day, and the module behind each part of it.

  1. 08:00

    Check the whole group.

The group MD opens the KPI dashboard, drills into the site that is behind target.

    Reporting
  2. 10:30

    Find it at another branch.

A sales exec at one site spots a matching unit at another, and a manager raises the transfer.

    Stock and valuation
  3. 13:00

A payment run that needs a second person.

Accounts prepare a BACS supplier run. A different person approves it.

    Finance and VAT
  4. 15:00

A destructive action leaves a trail.

An admin deletes an archived record. The action is written to a hash-chained log.

    Audit and records
  5. 17:30

    Consolidate the group in Spectra.

The FD runs branch P&L and the group consolidation with inter-company eliminations.

How switching works

Questions and answers

Can each site have its own team and stock?

Yes. Users are assigned to sites, each vehicle belongs to a site, and stock moves between sites by transfer.

Can we create our own roles?

No. Spectra has eight fixed roles (User, Sales, Sales Manager, Workshop, Accounts, Parts, Manager and Admin) and 51 permissions in eight areas. Custom roles are not available.

Do you support single sign-on?

Not today. Two-factor sign-in is by TOTP.

How does consolidation work across companies?

Group consolidation combines companies with inter-company eliminations, and branch P&L shows one column per site.

What is in the audit trail?

Field-level changes to key records, such as vehicles, deals, quotes, orders and jobs, are recorded append-only, and destructive and super-admin actions go to hash-chained, tamper-evident logs. Agent calls are logged and tagged as agent, human or system. Login history and impersonation are audited, and manager overrides on orders are recorded.

Which plan is right for a group?

Enterprise has unlimited users, contacts, vehicles and emails, a custom domain and full API access by arrangement. Talk to us about the shape of your group.
