Sales and deals

One deal takes you from first quote to handover.

Build a quote with the part-exchange, finance illustration and road tax already on it. The customer accepts online, signs the contract, and collects when the checks are done.

From enquiry to signed. The deal moves itself as the quote goes out, is accepted, signed and paid.

  1. A pipeline that moves itself.

The first quote moves a deal to Quoted. A deposit paid online or a new order moves it to Ordered, and completing the order closes it as won.

    • Four stages driven by real events
    • Deal owner plus collaborators
    • Visibility lock with manager override
    • No dragging a card forward to hide a gap
  2. Quotes with the awkward parts already in.

Quotes are versioned, and amending one keeps the old version. Add the vehicle, a part-exchange deduction, parts and bundles. HP, PCP and lease illustrations calculate live as figures change.

    • Old versions are kept
    • PX deduction, parts and bundles
    • Live finance illustrations
    • Road tax and first-registration fee as disbursements
The part-exchange list, with each inbound request valued, converted or waiting.
  3. Accept, sign and pay without a phone call.

Send a dealer-branded quote page. The customer picks optional lines, accepts online and pays a deposit once DNA Payments is connected. Contracts go out for e-signature by email or SMS.

    • Optional lines accepted or rejected by the customer
    • Deposit by DNA Payments
    • E-signature typed, drawn or click-to-accept
    • Automatic chase reminders

The keys wait until the checks are done.

The handover gate always checks the signed PDI, a current habitation check on used vehicles and the balance due. Optional checks join when you switch them on in settings.

  • Only the checks that apply to the unit
  • Overdue handovers listed
  • Overrides need a reason and appear in the NCC assessment pack

Finance, warranties and service plans on the order.

Record the finance company, the financed amount and the insurer on the order. Add a warranty or service plan to a deal, or sell a warranty on its own.

  • F&I fields on the order
  • Warranties sold with a deal or on their own
  • Manufacturer warranty transfers
  • Service plans

Sales with an assistant.

The assistant acts when you ask, within your role’s permissions. From Professional, Document Import reads a document and recommends one action, which runs only when you approve it.

  • The assistant works with the tools your role allows.
  • Document Import lets you review and edit the extracted data before anything is created.
  • Mail drafting proposes the reply and quote link; you press Send.

Sales depth that comes from selling leisure vehicles.

The quote and the handover carry the duties a caravan or motorhome sale brings with it.

  • Registration that fits the vehicle

DVLA registration for motorhomes, CRiS for touring caravans, checked at handover once you switch registration tracking on.

  • Towing before the tow

With towing checks switched on, a towable vehicle needs a towing-combination check whose latest result is not Unsafe and a verified licence category before handover.

  • Road tax on the quote

VED bands for motorhomes and campervans are suggested as guidance.

  • Habitation on used units

A current habitation check is a handover check for any used vehicle.

Questions and answers

Does the deal stage update by itself?

Yes. The first quote moves a deal to Quoted, a deposit paid online or a new order moves it to Ordered, and completing the order closes it as won. Nobody can push a deal forward by hand. A manager can move a deal back or reopen it, with a reason that is recorded.

Can a customer accept a quote online?

Yes. They accept or reject optional lines, accept the quote and pay a deposit on a dealer-branded page. The deposit needs your DNA Payments account connected. Accepting does not create the order: your team does that.

How does a part-exchange work on the quote?

The part-exchange appears as a deduction on the quote, defaulting to the agreed figure or, if there is none, the valuation from Stock. When the customer accepts, the accepted figure is recorded on the part-exchange.

Are the finance figures binding?

No. HP, PCP and lease figures are illustrations calculated live to help the conversation. The finance company, financed amount and insurer are recorded on the order.

What stops a vehicle leaving before the paperwork is right?

The handover gate. It shows the checks that apply, blocks completion while one is missing, and lets a manager override only with a recorded reason.

How do contracts get signed?

By e-signature sent by email or SMS, or signed in person. Signers can type, draw or click to accept, and chase reminders go out automatically.
